| Education and Training - Guidelines |
Education and Training within NMI3 Networking Activities has the mission of enhancing the efficient use of Neutron and Muon facilities by European scientists. The two main instruments to achieve this goal are schools and workshops. Twice a year NMI3 organizes calls for proposals. The proposals are evaluated by a committee of experts (COE) that fixes both the volume and modalities of the support granted. There is, however, a set of general rules that have to be respected by all the organizers of these events. These are outlined below.
Who can apply for support from NMI3?
In principle any European scientific institution organizing a school or workshop with a strong emphasis on neutron science or muon spectroscopy may apply for support from NMI3. The event has to be open (call for registration) and sufficiently broad in scope, (i.e. purely local events are not considered). In general the venue should be located in Europe unless there are clear reasons for participating in an internationally organized event (no similar event in Europe, strategic collaboration, etc.).
Who can receive support from NMI3?
NMI3 in general only supports the participation of individuals (travel and subsistence) to schools and workshops. NMI3 in particular does not cover general organization costs or conference overheads. Clear preference is given to students and post-docs. The organizers have to provide NMI3 with the names and coordinates of the grant recipients and appropriate justification of their spending. The grant recipients have to be affiliated with a European (see list of states below) scientific, academic or industrial institution based outside the country of the event’s venue. The total NMI3 support for the event cannot cover more than 50% of the event’s total budget (the total budget, therefore, has to be communicated to NMI3).
What language do you have to use?
Workshops have to be held in English. Schools may address sub-groups of the NMI3 user community. In this sense they may be held in other European languages provided this choice increases the efficiency of the training. As in the case of schools held in English support can only be granted to attract non-national students.
How to claim the funds from NMI3?
Call-up of funds can only be made after the expenses have occurred, i.e. in general after the event has taken place. NMI3 expects one single call-up of funds per event.
The call-up of funds has to be accompanied by the following documents:
• A written report (in English, French, German, Italian or Spanish).
• A list containing the names, first names, affiliations and email addresses of grant recipients. NMI3 may contact the grant recipients in order to evaluate the event.
• A list containing the names of recipients and total amount of individual grants.
• Justification of expenses. This can be a signed cost statement. In this case the original receipts may stay with the organizers.
• Bank coordinates.
The funds are transferred after NMI3 has received the report and justification of spending. It is the organizers duty to make sure that the above outlined rules of attribution are respected. If NMI3 discovers incompatibility of the use of support with the guidelines it reserves the right to diminish the support accordingly.
Depending on the cash flow from Brüssels there may be certain delays in the transfer of funds from NMI3 to the organizers. They are, therefore encouraged to call up the funds as early as possible. Funds not called-up during the year following the event are lost as these carry-forwards are impossible to handle on budgetary grounds.
The European Union Member States are presently:
Austria, Belgium, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden, The Netherlands, United Kingdom
